Final Steps

Melanie and I batch uploaded all of the digital images to UT's digital repository. The images were uploaded within individual folders that contained three images, and metadata. The metadata was extracted from an Excel file. The extraction created two files: an XML containing metadata and a text file listing the contents of the folder.

Melanie also created a test site for me to practice navigating a digital repository. I will be uploading my final documentation, which will include my quality controlled blog, that I will export as an XML file, and a document detailing a future project that could be done at the Briscoe Center.

All of the images have been cropped and straightened. I have also finished with metadata quality control and selecting appropriate architectural subject terms. The following website was used for vocabulary control of subject terms.

I have now moved on to creating reduced masters. I chose to reduce file size before saving the image as a JPEG by adjusting the image's pixel dimension. I looked through my survey of digitization notes, which suggested pixel dimensions of 800 x 600, but when searching online, dimensions of 1024 x 768 seemed to be a more current standard.

Reducing the dimensions, allows for saving the image as a higher quality JPEG while keeping the file size under a megabyte for easy web page viewing.

I met with Melanie to discuss work that can be done over the next four weeks since I have completed creating master digital images. We both agreed that creating a visual index of materials at the Briscoe Center would be too much to complete in just four weeks, but I will create a document outlining how this could be another capstone project for a later date.

The following will be done over the next four weeks.

   1. Cropping and derivative creation
   2. Metadata quality control
   3. Documentation quality control
   4. Preparation of a Collection Document Description
   5. Organization of files for batch ingestion to the UT Document Repository
   6. Review and preparation of documentation and other files for inclusion in the UTDR
   7. Review and approval of UTDR Collection

I will be working with Melanie on many of these steps except for the initial document quality control, and I will attempt to create the Collection Document Description on my own since I am familiar with the materials that have been scanned. Also, it should be noted that the only image optimization that I will be performing is straightening and cropping. This is because the objective of this project has been access and preservation to a lesser extent. If the end user desires an image that is superior to the original, that user can easily perform color correction, etc. himself/herself.

I am nearly finished with digitization of the library's collection. The next step will be cropping and optimization. I am hoping to create an index of the Briscoe Center's holdings after I am done with optimization.

Briscoe Center

I visited the Briscoe Center for American history, and located all possible sources of UT law building photographs. I also started going through the items and recording some descriptive metadata. While I was there, I learned that patrons can photograph archival items, so I will return with a camera to finish collecting metadata for a photographic index. However, this seems to be a time intensive process, so I will finish digitizing the law library holdings first since this is a priority.

I have continued scanning the Law Library 's holdings, and per Melanie's request, I have altered the naming convention to include only lowercase letters.

Technique adjustment

I have discovered that using the black eye dropper tool, for black balance, is making the digitize images darker than the original. To correct this, I have started using the black slider tool to clip out blank information. This is producing a digital image that appears to have the same color depth as the original.

I've also uploaded many Word files to the library's SharePoint site that detail processes. And I have created a template for gathering indexing information for the Briscoe Center and an authority list for abbreviations.

I am currently digitizing photos using the established workflow. I will also be going to the Briscoe Center for American History in order to create an index of their law school building holdings.

Due to the Briscoe Center's digitization fees, it has been decided that we will simply direct our patrons to the Briscoe Center using this index.

Some of the project's negatives are the size of small photographs. Therefore, they do not need slide holders. The steps below will apply to these negatives as well, bu will exclude the use of holders. As of right now, all transparent media can only be scanned off-site. This workflow is in preparation of having to scan transparent media at other institutions such as the Austin History Center.

I will be using these methods of free calibration. They will not be as precise as using a software bundle, but at the same time, it will save the library any extra costs and it will be sufficient to meet the end-user needs.

I changed the desktop background to a neutral gray. This will prevent any blue overtones during calibration and scanning.
I chose the highest resolution available for the LCD monitor. This will increase the color spectrum.
I ensured that the monitor's bit depth is set to 32 bits.
In photoshop, went to Edit -- Color Settings and chose Adobe RGB 1998 for the working space.

This means that when creating derivatives for online viewing, the JPEG's will need to be saved as sRGB.

I changed the monitor's color setting to sRGB,which is 6500 Kelvins, the recommended setting for editing photographs, but I lowered the blue slightly to match printed photograph to scanned photograph more accurately
Used online viewing tests to adjust monitor's brightness and contrast.

Scope change and workflow

It has come to my attention that the purpose of digitizing law school building photographs is access. This differs from the way that I conceptualized the project originally. In my proposal, I emphasize the preservation aspects of digitization, but because of equipment limitations and library objectives, best practice preservation will be secondary to project completion and quick access.

The specific equipment limitation that will most affect this project is the inability to scan slides and negatives in house. This means that secondary sources like photographic prints may be digitized instead of the original negative. Any reduced quality that might result from using a secondary source should be acceptable since the goal of the project is to make these photographs available to patrons online.

All attempts, however, will be made to capture images at high resolutions and bit depth. Additionally, negatives might be used if other archives on campus can either provide digital copies, or allow me to use their equipment for digitization.

The bit depth will be 24 bit color for black and white and color images, and the resolution will be as close to these standards as possible:

35 mm slides and negatives should be scanned at 2800 ppi.

4 x 5 images should be scanned at 1200 ppi.

8 x 10 images should be scanned at 800 ppi.

I've spoken with Melanie about establishing a workflow and ironing out any technical difficulties with our own materials and scanning equipment before I attempt visiting other institutions. I've been researching the best methods for digitizing slides and negatives as our collection has a large number of these. Also, I will be looking into scanner and monitor color calibration. We might also use one of Adobe's ICC profiles.

Elizabeth made the recommendation to include the picture's approximate date in the naming convention.

I have finished going through our analog collection of Law School Building photographs. I have set aside all of the few old building photos, and I have determined which photos out of the more recent sets are most representative. For instance, the new Connally Center had about fifty slides taken at various angles. And I did not include unprofessional photographs of the student lounge because the view was very narrow to focus in on the students occupying the lounge.

The next step will be meeting with Melanie to discuss specs and metadata that I will need from other collections should they wish to digitize photographs in-house.

Revised timeline of buildings

I spoke with Elizabeth, and she confirmed that the Law Library is considered a law building, so I have revised the timeline to include important law library dates.

1883: Law School classes begin temporarily in Capital building.
1884: "Main" building partially completed on Forty Acres. Law school classes begin in basement of Main's east wing.
1899: "Main" building completed and housed 4000 volume law library in basement.
1906-1908: "Old Law Building/ Pearce Hall" built. Includes Law Library.
1953: Townes Hall opened to accommodate post-war boom, and includes newly named Tarlton Law Library.
(????): Jesse H. Jones Hall completed to house larger library
2009-present: Faculty offices and library renovations of Jones Hall.
(????): John B. Connally Center for Justice (There are pictures and description here http://schooldesigns.com/Project-Details.aspx?Project_ID=950)

I also began sorting through the library's archival holdings for representative photos. There are many original negatives that I have set aside with copies that were at one time framed. I am setting aside both the negative and the copies in this instance as it is unknown if the negative, or the copy will be scanned. Storage space might be an issue apparently with the negatives.

I have assembled a basic timeline of Law School buildings using the above site.

1883 Law School classes begin temporarily in Capital building.
1884 "Old Main" building finished on Forty Acres. Law school classes begin in basement of Main's east wing.

There are only two lossless scanned images of the Law School currently within the Library's sharepoint folders. One is Law School 1956 (gif), but its dimensions are very small.

The next step will be to go through the library's archival photos to find images that need rescanning because of their being saved as jpegs, and to find new images that have never been digitally preserved.

I will need to consult Melanie about a naming convention, metadata, and digitization specifications before I begin contacting other institutions that might prefer to digitize in-house.

Pre-project meeting

I met with our rare books librarian on 1/14/11 to discuss the first steps of my project. The first part of the workflow will be to familiarize myself with the images that have already been scanned through previous projects, or acquired through other institutions. The second step will be to locate images from the following locations that we do not already have within our collection.

1. Law Library's Archives
2. University Archives

3. Center for American History

4. UT Publications (Yearbooks Cactus and Peregrinus -- will be low quality)

5. School of Communications (will have recent renovation pictures)
6. Austin History Center (Will only have very early photographs)

The second stage of the project will involve the actual scanning. I will consult with Melanie and research current archival standards to determine specs. I'm also assuming that the metadata will be created at this point, but I will need to consult further to get the details.

The third stage will involve photo editing and derivative creation.

The fourth stage will involve creating an index and index pdf.

The fifth stage will involve inputting image metadata into an excel spread sheet for batch uploading.

The sixth stage will be batch uploading to dSpace

The seventh and final stage will involve the user interface/website as follows
